Adding or Removing Files in a File Group

Files can be added to one or more groups from the Add to/Remove from File Group window. This window is accessed from a file's right-click menu.

Note: The items on the right-click menu vary depending on your permissions and security group assignments. Administrative users can change permissions and security group assignments in Administration Manager. See the Administration Manager Help and the topic Managing Access in CCH Axcess™ for more information.

To add a file to a file group or to remove a file from a file group, do the following: 

  1. Click the File list tab or Recent files tab to display a list of available files.
  2. Right-click one or more files in the grid and select Add/Remove in file groups from the menu.
  3. Do one or more of the following if needed:
    • ClosedCreate a new file group to add the file to.
      1. Click New.
      2. Enter a name for the new file group.
      3. Enter a description. Although not required, descriptions can be useful later when determining where files are to be assigned.
      4. Select if the file group is to be Private or Shared. If you select Private, the file group can only be viewed by you. If you want others to be able to access the new file group, you should select Shared.
      5. Click OK.
    • ClosedEdit an existing file group.
      1. Select a file group in the Available groups box.
      2. Click Edit.
      3. Edit the name and description of the file group as needed.
      4. If needed, change the file group type. If you select Private, the file group can only be viewed by you. If you want others to be able to access the new file group, you should select Shared.
      5. Click OK.
    • Add the file to a group. In the Available groups box, select a file group. Click the move right button to add the file to the group. To add the file to all the file groups, select the assign allbutton.
    • Remove the file from a file group. In the Assigned groups box, select the group to remove the file from.  Click the move leftbutton to remove the file from the group. To remove the file from all the file groups, select the remove allbutton.
  4. Note: You can only edit the properties of file groups that you have created.

  5. Click Save.
